I was introduced to Tracy shortly before taking over managing our family veterinary practice. I had no formal training or experience in management and was re-entering the working world after extended time-off raising kids. To say I needed direction was an understatement! I honestly don’t know if our clinic would be the success it is today had I not had the guidance Tracy provided me over the past year and a half!

During our first meeting she explained the day-to-day responsibilities of an effective manager. Human resources was a huge one and the toughest to tackle. She had so many ideas and strategies for effective leadership and communication, including scheduling and leading regular staff meetings, something I would be instituting at our clinic. Although I was nervous I was comforted and encouraged by her vast experience and guidance.

She shares websites that are treasure-troves of information. For example, she helped me compose and institute our employee handbook, along with many other necessary but tedious documents.

She is aware of the changing areas in our field and is current on evolving adaptations to the new aspects, full of innovative ideas to help adjust to these changes. She’s got her finger on the pulse and the experience to help clinics evolve within this dynamic industry.

I understandably encountered many “firsts” over the past year. Tracy was the first person I’d contact when I had no idea what to do, or needed guidance. Even though she was busy running her own veterinary practice she’d respond within the hour with reassurance and suggest effective solutions.

I knew it would be a perfect fit from our first telephone conversation. Tracy has many years of practical experience and that made her well-liked (and accepted) by our staff right away.

The dates that she would travel to our hospital were quickly agreed upon. Worksheets to prepare us and her for her consulting visit were quickly drawn up by Tracy. Lines of communication with the whole staff were set up and introductions made and input asked from all. This was before Tracy's visit! Her three days with us were well spend. I believe firmly that everyone (even the biggest naysayers and doubters) came on board so quickly with the conversion to appointments was largely because of Tracy. Tracy has great inter-relationship skills and answered every question patiently, set realistic expectations, set out a time line, and was very hands-on during her visit. Her feedback and input were respected because she related well to every staffing level and consulted with everyone what their role in this change would be.

As said, Tracy beforehand prepared worksheets, during her three day visit she prepared flow charts and work lists (after working a long day with us) and was constantly in touch with receptionists, vet techs, doctors and myself (hospital administrator). Her advice was very broad: operational such as practical scheduling tips, creating new templates in our PIMS, marketing advice, personnel and financial management. Within two days after her visit she submitted her complete report. Very thorough, practical and realistic.

It has been a few months now and the receptionists and myself are still in touch with her with questions. Tracy replies quickly, is involved and asks for hard numbers (# appointments vs walk-ins and $$ ). Tracy's firm also does HR consulting. I asked her for a job description for the newly created position of Staff Manager. It showed how well Tracy understood our Hospital culture.
